This privacy statement applies to personal information collected through the Company website: www.vardaan.co.nz or via email or collected in traditional paper format. It also includes how personal information is treated by our staff when you contact us using social media.
Collection of personal informationWe may ask or require you to provide some personal information when you complete an online form (eg the Application for Employment form). We may require you to register your details with us in order to create or maintain an application profile. As part of our online processes there may be other information that is required to be supplied. Failing to provide such information may reduce or make unavailable some services we provide to you, or your application for employment may be rejected due to insufficient information.
Where we have communicated with you on WhatsApp or other social media sites (like Facebook or Messenger), we may back up that communication in order to conduct routine audit processes or to consult in order to answer queries for you. This information will be held no longer than 12 months from the date of the communication, and is automatically deleted after that time.
Holding of informationWhen you provide personal information, it will be held by us for a minimum of 3 months. It may be stored or accessed by us to the extent that is necessary, for example for us to administrate your HR records and/or payroll. We will store and keep your personal information secure in accordance with the Privacy Act 2020 and all of our managing staff who are authorised to access your personal information will be subject to our information security and privacy requirements. All information uploaded via our collection systems is downloaded after review and then the online files are deleted. Files you provide to us online are deleted after they have been downloaded to a secure hard drive on our premises.
Disclosure of informationWe will generally not share personal information that is provided or collected by us, unless it is necessary to do so for the purpose for which you gave us the information or where you expressly consent to the disclosure. We will not otherwise disclose personal information provided or collected through this website unless required or otherwise permitted by law.
Use of personal informationWe will generally only use personal information provided to us through this website for the purpose you provided it (eg to administer, evaluate and improve the site, to improve our employment application processes, or to provide Human Resources or Payroll actions to you). We may also use personal information provided to us through this website for other reasons permitted under the Privacy Act 2020 (eg with your consent, for a directly related purpose, or where the law permits or requires it).
Records and retention of personal informationWe will only retain personal information as long as it is required for the purposes for which the information was collected and may lawfully be used, and for a period of not longer than 3 months after its use has ended. If you have been employed by us, we are required to store your payroll data for a period of seven years from the date of your last termination pay from us, for accounting and audit purposes.
